How HandyCPD may use AI
HandyCPD may use AI to help with features such as quick-log extraction, reflection prompts, draft summaries, standards mapping, learning outcomes, evidence descriptions and record previews. These features support your CPD workflow; they do not replace professional judgement.
Optional aggregated CPD theme insights
If you choose to enable CPD theme insights in onboarding or Settings, HandyCPD may use AI to classify finalised CPD records into broad, non-identifying categories to understand common learning trends and improve guidance, support and product features. This is optional and separate from the AI that helps you draft and structure records.
Raw CPD text is not stored in this insights dataset. Evidence files and exported PDFs are not used for this feature. Insights are used in aggregate; they are not intended to let anyone read your private reflections. You can turn contribution off at any time to stop future contribution. Account erasure removes associated insight data where applicable. This is also separate from PostHog/GA4 behavioural analytics. Please continue to avoid unnecessary patient/client-identifiable, confidential or special-category data in CPD content.
What content may be processed
For essential AI features (drafting, reflection, extraction, previews), processing may include CPD notes, reflection text, uploaded or extracted document text, image descriptions, evidence names or metadata, professional role context, selected standards, learning activity details and previous user edits within the relevant CPD workflow.
User responsibility
AI-generated outputs may be incomplete, inaccurate, outdated or unsuitable for a user's professional circumstances. Users are responsible for reviewing, editing, verifying and approving all CPD records, reflections, standards mappings, evidence summaries, exports and PDFs before relying on them, sharing them or submitting them to an employer, regulator, professional body, auditor or other third party.
No professional or regulatory advice
HandyCPD is a CPD recording, reflection-support, standards-mapping and evidence-organisation tool. It does not provide legal, regulatory, clinical, professional, employment, accreditation, audit or regulator-submission advice. HandyCPD does not guarantee that any CPD record, reflection, evidence file, standards mapping, export, analytics output, AI-assisted output or PDF will be accepted by a regulator, employer, professional body, auditor or other third party.
Sensitive and third-party information
Users should avoid uploading or entering unnecessary patient-identifiable, client-identifiable, confidential, special-category or third-party personal data. Users must only upload, enter or process content that they have the right and permission to use and that is appropriate for CPD purposes.
Human control
Users remain in control of what they save, edit, finalise and export. AI-assisted features do not determine a user's professional status, regulatory compliance, employment position, subscription eligibility or legal rights.
Privacy and processors
AI-assisted processing may involve third-party AI providers listed in HandyCPD's Privacy Policy. More information about data processing, exports, erasure, retention and user rights is available in the Data Rights information. Please also review HandyCPD's Acceptable Use page.
Fair use and availability
AI-assisted features may be limited, throttled, paused or unavailable for fair use, safety, security, billing-control, maintenance, abuse-prevention, reliability or operational reasons. Usage limits do not remove your responsibility to review, edit and approve AI outputs before relying on them.
HandyCPD may change AI limits and features over time as the service improves. AI features are supportive only and do not replace professional judgement.
Changes to AI features
HandyCPD may change, improve, pause or remove AI-assisted features over time as the service improves. Where changes materially affect how personal data is processed, HandyCPD will update its privacy information or notices as required.
